Access and approval are different responsibilities
An agent may hold keys without authority to approve work. Identify who gives access, who accepts the quote and who authorises additional costs. Keeping those roles clear prevents messages in a group conversation from becoming ambiguous instructions. Agree update recipients and a contact channel before the work starts.
A property brief your team can reuse
For each enquiry, provide the neighbourhood, property type, rooms, photos, occupancy and available dates. Include checkout, tenancy change or delivery constraints. Do not send tenant identity documents or building access codes in the public form. Key details are coordinated directly after the relevant parties are identified.
English scope and a visual record
We provide written English quotes, WhatsApp replies and daily photo/video updates for remote coordination. A final walkthrough and photo set support the owner’s review. Agree how decisions, changes and any corrections are recorded. A visual handover is evidence of progress, not an automatic substitute for the agreed acceptance process.
Repeat properties still need individual assessment
Different apartments can require very different preparation. Keep a record of colour codes and previous products for each property, but do not assume a past price or timetable applies unchanged. Availability, invoice details and any ongoing service arrangement are agreed directly. No blanket turnaround or portfolio-wide SLA is implied.
